How timesheet hours are calculated

Daily hours = end time − start time − unpaid break
Weekly total = sum of daily hours
Hours over the weekly threshold (40 by default) are overtime at 1.5× the rate. Payroll uses decimal hours, so 38 hours 45 minutes is entered as 38.75 — the calculator shows both formats.

How to fill out a timesheet (3 steps)

  1. Enter start, end and break for each day. For every day worked, record the clock-in time, clock-out time and unpaid break minutes (a 30-minute unpaid lunch is the most common). Overnight shifts are fine — an end time earlier than the start is treated as crossing midnight.
  2. Check the daily and weekly totals. Each day computes as end time minus start time minus the unpaid break. The weekly total is shown in both hh:mm and decimal hours — payroll systems use the decimal figure (8 hours 45 minutes = 8.75).
  3. Add your hourly rate for gross pay. Enter an hourly rate to see gross pay for the week, with hours over 40 paid automatically at 1.5× under the federal overtime rule.

Timesheet minutes to decimal hours

Payroll multiplies decimal hours by your rate, so minutes must be divided by 60 — not written after a point. The common conversions:

Frequently asked questions

How do I calculate timesheet hours?

For each day, subtract the start time from the end time, then subtract any unpaid break. Example: 9:00 AM to 5:30 PM is 8.5 hours; minus a 30-minute lunch leaves 8 hours. Add the seven daily totals together for the weekly figure. This calculator does each step automatically as you type.

Do lunch breaks count as hours worked?

Usually not. A bona fide meal break (typically 30 minutes or more, fully relieved of duty) is unpaid and is deducted from the day. Short rest breaks of 5–20 minutes are generally paid time under federal rules. Enter only the unpaid minutes in the Break column.

How do I convert timesheet minutes to decimal hours?

Divide the minutes by 60: 15 minutes = 0.25, 30 = 0.50, 45 = 0.75. So 38 hours 45 minutes is 38.75 hours. Payroll systems multiply the decimal figure by the hourly rate. The calculator shows both formats; for a standalone converter use the decimal hours calculator.

When does overtime start on a timesheet?

Under federal law (FLSA), overtime is owed at 1.5× the regular rate on hours over 40 in a workweek. Some states add daily overtime — California, for example, after 8 hours in a day. This tool applies the weekly threshold; for state rules use the overtime calculator.

Does this timesheet calculator handle overnight shifts?

Yes. If the end time is earlier than the start time, the calculator treats the shift as crossing midnight and adds 24 hours, so a 10:00 PM to 6:00 AM shift counts as 8 hours.
